Privacy Policy

1. Who is responsible

For your account and how you use the platform, Aioneprod is the data controller.

For the records an organization keeps in its workspace (its customers, employees, contacts, form answers), that organization is the controller and Aioneprod its processor: we handle that data only on its instructions, to provide the service.

2. What we collect

Account details: your name, email address or phone number, password (stored only as a secure hash), language and preferences.

What you put in the platform: workspaces, records, files, messages and documents.

Technical data: the device, browser, IP address and time of requests, kept for security, abuse prevention and audit trails, such as the details recorded with a signature or a form submission.

3. Why we use it

To provide and secure the service (performance of our contract with you), to keep accounts safe and prevent abuse (our legitimate interest), to send messages about your account, trial or plan, and to meet legal obligations. We do not use your data for advertising and we do not sell it.

4. AI processing

When you ask the platform to read a document, the pictures you choose are sent to our AI provider to extract their text, under terms that do not allow it to train its models on them.

5. Who we share it with

Our service providers, bound by contract and confidentiality: cloud hosting and infrastructure, sign-in and security, email delivery and AI processing. The reseller who sold your workspace, for billing and support. Authorities, where the law requires it.

Inside a workspace, its members see what their roles allow.

6. Where it is processed

Workspace data is stored in data centers in the European Union. Some processing by our providers may take place in other countries; where it does, it is protected by safeguards such as the European Commission’s Standard Contractual Clauses.

7. How long we keep it

Your account data is kept while your account exists. Workspace data is kept until its owners delete it; deleting a workspace or base deletes its data and files for good. Security logs and activity history are kept for limited periods (90 days by default), then deleted. Backups are overwritten on a rolling basis.

8. Security

Data is encrypted in transit and at rest. Access is checked on the server for every read and write, according to each member’s role. Passwords are never stored in readable form, and our team’s access is limited to what support and operation require.

9. Your rights

You may ask to access, correct, delete or export your personal data, to restrict or object to its processing, and to withdraw consent where it is the basis. Write to contact@aioneprod.com. For data an organization keeps about you, contact that organization first: we will help it answer.

You may also complain to your data protection authority, such as the CNDP in Morocco or the authority of your country in the European Union.

10. Children

The platform is not meant for people under 16, and we do not knowingly collect their data.

11. Changes to this policy

We will publish any update here, with its date, and tell account owners of significant changes before they apply.
